Who we are
The Skytanking organisation has two divisions, ‘Fuel’ and ‘Airport Operations’, the Fuel division is head-quartered in Hamburg, Germany and a part of Primeflight (head-quartered in Houston, USA). All references in this JD are on the basis of operating within the Airport Operations division only; which is currently based in London, England and operating in the U.K., Netherlands and Italy.

The UK business currently has 7 different legal entities with multiple different external payroll providers, payroll systems and ways of working.  Payroll is currently fully outsourced, and this Payroll Manager role will play a critical role in working with the external payroll providers to ensure compliance, and improve payroll processing accuracy.

The Payroll manager will have experience of running multiple complex payrolls across the UK and Europe, within a fully insourced, managed services and fully outsourced model across regional jurisdictions.

Your tasks
JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS 

  • Undertake an audit of the external payroll providers for all UK and non-UK non-fuel businesses to ensure compliance with UK legislation, HMRC and RTI, and other regulatory bodies and identify any risks and work on risk mitigation strategies
  • Undertake an audit of pension schemes to ensure compliance and produce clear scheme rules including confirmation of pensionable pay elements, auto-enrolment and re-enrolment dates, impact of salary sacrifice in relation to minimum wage, absence periods etc
  • Create and Maintain standard operating procedures (SOPs), Payroll Processing Manual, payroll process maps, forms and templates in relation to end to end payroll processing 
  • Act as the main point of contact between Station /Operational Managers and the external payroll provider to improve the level of consistency, understanding and compliance to payroll deadlines, and understanding of payroll processing implications
  • Improve payroll accuracy by actively reducing the level of late payroll submissions and post termination payments to leavers
  • Deliver tangible cost savings in external costs due to the reduction in queries and billable hours from third party payroll providers
  • Audit Time & Attendance data and monthly payroll submission sheets submitted by the operational business to ensure that hours, overtime, absence are being processed and captured correctly
  • Become a superuser for the Time & Attendance system in relation to the data outputs/reports required for payroll processing in terms of overtime, absence, holidays 
  • Lead and manage payroll transformation programmes including process improvement projects, to optimise the efficiency and accuracy of the payroll
  • Work with the external payroll providers to ensure that all year-end submissions are accurate and compliant i.e. P11d, P60s, Form 42 etc
  • Ensure that the company is fully compliant in relation to the management and declaration of benefits in kind
  • Conduct a National Minimum wage audit following the increase in NMW effective April 2025 and ensure that the external payroll providers are also compliant with implementing the increase in Employer NI
  • Work closely with Finance to secure monthly payroll approvals, ensuring the accuracy of employee and third party payments and coordinating the BACs approval and fund release process.
  • Work with the current payroll providers to improve the suite of payroll reports produced each month as part of payroll processing
  • Cultivate and build strong working relationships with internal stakeholders, employees, and third party payroll providers
  • Offer expert guidance on payroll matters, providing recommendations for system and process enhancements to drive service excellence
  • Develop change management strategies that minimize disruption and support the business to deliver growth plans
  • Collaborate with cross-functional teams to implement solutions that support key business priorities
  • Deliver pragmatic payroll solutions that are aligned to the business strategy, and fully compliant with company policy and law
  • Implement PMO governance frameworks, ensuring that payroll projects are delivered on time, within scope and on budget
  • Monitor and improve SLA, KPIs and Payroll standards and provide meaningful analysis on costs and trends
  • Actively support with post-acquisition business integration and harmonisation initiatives from a payroll perspective
  • Implement and drive process change and automation, identifying technologies and automation to deliver lean / productive solutions within the business
  • Engage with the all levels of the business to implement change projects through workshops and regular employee communications
  • Handle sensitive payroll and employee data with the highest level of confidence, ensuring the company remains compliant with data protection regulations.
Your profile
MINIMUM QUALIFICATIONS/EXPERIENCE/KNOWLEDGE/SKILLS
Qualifications  
  • Payroll leader / manager within a European organisation
  • Minimum 10 years in a Payroll Management role
Experience/ Knowledge/skills
  • Excellent knowledge of payroll systems
  • Experience as a payroll Manager of managing internal payroll teams, as well as managed service or fully outsourced payroll models
  • Demonstrable experience managing payroll Projects, including payroll system implementation projects
  • Experience with acquisition, integration and change management processes
  • Proven ability to manage a varied workload with changing priorities
  • Excellent communication and influencing skills
  • Effective stakeholder management and engagement skills
  • Strong analytical and problem solving
  • Strong IT skills including Microsoft Office 
  • Role to be based at our Heathrow head office (may be some flexibility to work from home 1 day per week)
  • Possesses a full clean UK driving licence
